As I plan my trip to Portugal and Spain, I find myself in a familiar predicament: I am going against my own travel advice to clients. Don’t try to pack too much in! But how do you plan a trip that balances planning, spontaneity, and room for adventure?
We all know that vacation planning is crucial for a smooth and enjoyable trip. But let’s be honest, the real magic often happens in those unexpected, spontaneous moments that catch us by surprise.
So, how do we strike the perfect balance between meticulous planning and delightful spontaneity? Let me share how I mix both elements to get the most out of my and my client’s adventures.

How to Plan a Trip: Setting the Foundation
First things first, I always start by nailing down my must-see and must-do activities in the destination. Think of this rough travel plan as your travel safety net. By taking care of essentials like the flight, accommodations, and popular tours in advance, I eliminate the stress of last-minute bookings and long queues. This well-planned foundation removes the anxiety and FOMO (Fear of Missing Out) that can often come with travel. Trust me, having these basics covered makes a world of difference.
Blank Spaces = Breathing Room (and Hidden Gems!)
Now, for the exciting part: resist the temptation to fill your itinerary to the brim! Instead, it’s a good idea to leave some actual blank spaces in your schedule. Why? Because these are the moments when you might stumble upon a local market brimming with vibrant crafts, a hidden cafe serving the best coffee you’ve ever tasted, or a park bench inviting you for an afternoon of people-watching. These unplanned moments? They’re pure gold.

Embracing Stress-Free Exploring
With my essential experiences secured, I can truly relax and enjoy those unplanned moments. There’s a unique freedom in knowing that my must-do list is taken care of, allowing me to roam and explore without the nagging worry of missing out. This balance gives me the best of both worlds – the security of a well-planned trip and the thrill of spontaneous discovery.
The art of the perfect trip lies in finding that sweet spot between careful planning and embracing the unknown. By setting a solid foundation, leaving room for flexibility, and allowing myself the freedom to explore, I create the perfect recipe for a dream vacation. It’s often in those unplanned moments that I find the most joy and create my most cherished memories. This is what I do for my clients too. Whether you are working with me or planning your own getaway, plan wisely, but don’t forget to leave some room for magic to happen!
Ultimately, travel is about creating memories, isn’t it? And often, the most vivid, heartwarming memories come from those unexpected, unscripted moments. So, plan your dream trip, yes, but always leave some room for the magic to unfold. You never know what you might find.
